Using the Jet 2013 Administration Console


This information applies to Jet Essentials 2013 and 2013 Update 1.  For newer versions, see Using the Jet Administration Console

Overview

The Jet Administration Console is a user interface which makes it easy for administrators to create and manage the information in the Service Database when the Jet Configuration Service is used.

The Jet Configuration Service allows administrators to:

  • Configure their Jet data source properties for all their users in a single location.
  • Specify users
  • Define user permissions

Prerequisites

  • The Jet Configuration Service and Jet Administration Console must be installed.  Please see related KB articles on this.
  • Users must be on Jet Essentials 2013 or Jet Essentials 2013 Update 1.

How to use the Jet Administration Console

  1. Open the "Jet Administration Console" application

    Type the name of the server where your Jet Configuration Service is running. You may need to modify the default port number as well.

    Select Test Connection


     

    A success message should appear.  Select OK

    Upgrading from Centralized Settings

    If you used Centralized Settings with Jet Essentials 2012 R2 or earlier and upgraded your settings when you installed the Jet Configuration Service, you will see your Users, Data Sources and Permissions in the Jet Administration Console.

  2. Managing Users

    Select the User tab to add, manage, and remove users.

    A User is a person who can access data sources defined in the Jet Administration Console to  design and/or run reports using the Jet Excel add-in.  A user may be defined as an individual Active Directory user or  group.  Defining users as groups enables an administrator to grant permissions to a group of users, greatly reducing security workload.

    Note: Defining users as groups in the Jet Administration Console does not change the Jet licensing model, in which a Designer or Viewer is defined as an individual.

    Administrators can add, modify or delete users; data sources and/or permissions using the Jet Administration Console.  An Administrator can grant other users Administrator rights by changing the users’  security level.  The individual who installed the Jet Configuration Service has Administrator rights by default.

    You can allow users to create Personal Data Sources.  These are data sources that other individuals would not be able to see or use. Personal Data Sources are created inside the Jet Excel add-in client. The data source connection properties are stored on the Service Database and are specific to the individual.

  3. Managing Data Sources

    Select the "Data Sources" tab to add, manage and remove data sources.


     

    Importing data source settings

    If you have data sources already defined in your client, you can import them.

    • You will first need to export your data sources from the client.  From within Excel, access your Jet Data Source Settings, select Export, and then specify a file name and location for storing the settings.

       

    • In the Jet Administration Console, select Import and navigate to the file to which you saved your settings.

  4. Edit Scopes

    Each setting on a data source has a ‘scope’.  Scopes can be modified by selecting Edit Scopes.

    • Shared settings are identical for all users.  Some settings must be shared and are locked.  Server and Database are examples of settings that must be shared.  Users cannot modify the value of shared settings from the Jet Excel add-in.
    • User settings can vary by user.  Display preferences and authentication information are examples of settings that should be defined as user settings.
    • Machine/user settings can vary based on the combination of machine and user.  File paths are examples of settings that should be set to machine/user.

    When you have finished editing the scope of your data source settings, click the Edit Scopes button.

  5. Managing Permissions

    Select the Permissions tab.

    You can provide a user access to a data source by clicking the appropriate box.  A check mark in the intersecting box indicates that a user has permissions to access the data source connection properties.

     

    Providing users with access to the data source connection properties does not provide them access to the data sources themselves.  Users will still need read permissions on their respective data sources.

When are changes saved?

Changes are saved in the background when switching between pages and when the Jet Administration Console is closed.
