Let's look at an example to see how data can be added to the budget, by others
Creating Work Items for Other Users
In the Work section of the budget, we see the structure that was previously defined
For this example, let's create a Work Item for entering the budget values for the Software Revenue in North America. Right-click on that part of the structure and select New Work Item
First, we need to specify whether we will be completing this particular data alone or will be assigning the Work Item to another user who has already been added to our budget.
Next, we'll need to give our Work Item a descriptive name and, since we've already defined a template for entering revenue-related budget data, we'll also select that.
We are now presented with the default accounts and dimensions/segments that were configured within the Template.
Now we can specify certain information about this Work Item - including who the Approver and Contributor are:
We can define who will be the individual who will be entering the budget data (the Contributor) and who will be in responsible for reviewing and approving that data (the Approver). Other information such as a preliminary Budget Allocation, submission deadline, explanatory message, and any supporting files can also be provided here.
If we are not yet sure who the Approver should be, we can select Unassigned from the Approver list.
The Work Item can then still be started by the Contributor and - once we know who to select as the Approver - the Work Item can be updated with that information so that the Contributor can submit their budget numbers.
If were are not quite done, we can select Save as Draft. Otherwise, we can select Send to notify both the Approver and Contributor for their responsibilities for this Work Item.
Once we have completed defining what data we want to enter, we can click the Send button.
Both the Approver and Contributor receive email notification of their responsibilities for this Work Item:
When the Contributor clicks the View Assignment button, they are taken to Jet Hub where they can log in, go to the Budgets list, and see their work assignment:
From here, they can Open their task and are prompted for whether they wish to enter data online or using Excel.
For this example, let's choose Enter Data Online.
The Contributor is then presented with the entry form as configured using modified Template:
Once all data has been entered and is ready for review, the Contributor can click Submit, provide a message for comment tracking, and then click the Submit button.
The Approver will receive an email letting them know that the budget numbers are ready for review:
The Approver can log in to the Budgets section of Jet Hub and see the Work Item that is pending approval:
The Approver can click Preview Data to view the submitted numbers:
If any issue is found, the Approver can click Send Back:
Otherwise, the Approver can click Approve:
